Email often has a connotation of being for Teens, or younger adults. However, now in todays society all businesses use email to communicate their objectives, and to cumunicate with employees and customers. Here are some tips for sending profesional looking emails that will reflect a positive light on you and/or your company.
1) DO NOT USE ALL CAPITALS - Though, they do attract attention, using all capitals makes your emails look spammy, and cheesy. Think about this for a second what do you think looks more proffesional:
a) DISCOUNTS ON WIDGETS b) Discount on Widgets
The first one appears to be clearer and more noticible, however it will make your company look unproffesional.
2) Avoid Emoticons - I love emoticons, however, they are not for business. Use them to send to your freinds, but try to avoid them in business.
3) Reply Immediately - When you first recieve an email in your inbox, read it, and write a reply. Don't allow any time to procrastinate. People will appreciate your promtness, this will help to build strong relationships with both your customers and employees.
4) Write for Your Audience - Remember who your sending the email to. If you are going to contact your boss, or the CEO of the company, or your best customer, remember to be more formal. If you are sending an email to your freind, or someone else who is in the company who you know fairly well, you can be a little more informal. It is always better to be more formal, than it is to be overly informal.
5) Use Other Methods - If you need to say something that's going to take a longer time to explain, you should instead meet face to face, or contact the person by phone. Otherwise it will be harder to explain what it is that you want to say.
6) Keep it Short - Try to avoid sending long emails that are many pages long. If possible avoid sending emails that are longer than one page long.
If for some reason you do need to send multiple page emails make sure that you make the paragraphs short. People get scared of long paragraphs. All they see is a big chunk of text, and they will procrastinate from reading it. This will make it take longer for you to recieve a reply. Try to make your paragraphs short one or two sentences is usually best.
7) Proof Read It - This is mostly common sense, however it's amazing how many people don't proof read their emails. Many times people will send emails that say something completely different from what they had actually intended to say.
8) Get It Done - Sometimes people will spend 2 or 3 hours just to read a few emails. This is riddiculus. Unless you are getting hundreds of emails per day, you usually should only take a few minutes reading the emails. Skim through it, and then if it doesn't make sense read it again this time a bit slower. Then write replies. Don't be quick in sending emails but don't "Dilly Dally" either.
9) Be Direct - Don't try to make your emails fancy by using a bunch of words, and different writing techniques. Just say what you need to say, and then send it.
10) Companies Domain Name - If you have a domain name for your company, you can use this as the ending for your domain name. So your domain would look something like this MYNAME [AT] MYDOMAIN [DOT] COM. This looks much more proffesional than "basketballpro3415309057 [AT] YAHOO [DOT] COM.
These above steps will make your emails look much more proffesional.
